About the role 🚀
Location: Paris 9th, France
As an Office & Workplace Coordinator, you will be a key member of the People team, reporting to the People & Office Manager. You will lead the workplace experience for all Bigbluers and be the go-to person for anything related to our offices.
You’ll work closely with multiple teams, both locally and globally, and play a central role in shaping a work environment that is inclusive, smooth, and enjoyable.
You’ll be responsible for ensuring the seamless running of our Paris office while supporting our warehouse offices and remote locations in Madrid and London. This includes office operations, IT coordination, workplace process improvements, and contributing to Bigblue’s company culture.
🏢 Office & Facility Management
Act as the main point of contact for all office-related topics.
Ensure the smooth day-to-day running of the Paris office.
Support the operational needs of warehouses and remote offices in Madrid and London.
Collaborate with cleaning services, maintenance providers, building managers, and vendors.
Participate in continuous improvement of our office spaces (layout, ergonomics, ambiance, etc.).
Manage office inventory: snacks, supplies, IT equipment, etc.
Monitor and manage the office operations budget.
Seek opportunities to automate and streamline office-related processes.
Handle vendor contracts, procurement and cost negotiations.
💻 IT & Technology
Coordinate with our IT partner (Primo) for hardware management and access provisioning.
Maintain up-to-date inventory of IT equipment and oversee logistics for hardware delivery and return.
Track and manage SaaS licenses and associated costs across all teams.
Research and recommend new tools to improve internal workflows.
Maintain the IT/software/tools budget and assist in cost optimization.
🧑‍🤝‍🧑 Employee Relations
Prepare onboarding experiences: welcome kits, workspace setup, access cards, and orientation.
Manage off-boarding: ensure proper equipment return and access deactivation.
Design and maintain workplace-related people processes, in coordination with the People team.
Harmonize employee gifting practices across all entities (France, Spain, UK) for personal milestones and key events.
✈️ Travel & Logistics
Oversee our business travel policy and ensure compliance across teams.
Own the relationship with our travel provider and support employees when needed.
Monitor and optimize travel-related budget and supplier performance.
🎉 Events & Culture
Co-organize team events in collaboration with the People and Marketing teams:
Happy hours, team lunches, quarter celebrations, theme days…
Take part in the planning and execution of the annual company offsite.
Ensure that every event is meaningful and aligned with Bigblue’s values.
Foster a culture of inclusiveness, belonging, and team spirit through daily rituals and attention to detail.

Requirements 🙌

  • Strong sense of ownership, attention to detail, and organizational skills.
  • Friendly, proactive, and solution-oriented mindset.
  • Excellent communication skills and a team player attitude.
  • Comfortable with digital tools (Google Workspace, Notion, Slack, TravelPerk, etc.).
  • Previous experience in office coordination, workplace management, or people operations is a plus.
  • Experience in hospitality, events, or F&B industries is a strong plus.
  • Experience organizing onsite and offsite events
  • Fluent in French and English
