Job Description

The Role

This is a hands-on, high-impact role at the heart of how Veremark delivers its service. We process thousands of background checks, verifications, and screening requests across multiple countries every month. Many of these workflows involve manual steps — data entry, document review, chasing third parties, cross-referencing results, updating client records — that are ripe for automation.

We need someone who will personally walk the floor, sit with our fulfilment teams, understand every step of every process as it actually happens (not as the SOP says it should happen), and then systematically identify, prioritise, build, and deploy automations that make our operations faster, cheaper, and more accurate.

This is not a management role where you direct others to do the work. You will do the work yourself — mapping processes, building bots, testing automations, measuring results. As the programme matures, you may grow a small team, but in year one, you are the team.

What You’ll Do

Discovery & Process Mapping

  • Embed yourself in the operations team across all check types (criminal, employment, education, identity, credit, reference) and all geographies we serve.

  • Observe, document, and measure every manual process end to end — including the workarounds, exceptions, and undocumented judgment calls the team makes daily.

  • Build a complete process inventory with cycle times, volumes, error rates, and cost-per-check for each workflow.

  • Identify the gap between what the SOPs say and what actually happens. Fix the SOPs first where needed.

Prioritisation & Design

  • Rank automation opportunities by impact (time saved × volume) versus effort (complexity × risk).

  • Design automation solutions for the first wave of high-volume, low-complexity, low-risk processes.

  • Work with Compliance and Legal to ensure every automation has proper audit trails, error handling, and human oversight where required by data protection regulations.

  • Present a clear automation roadmap to leadership with projected cost savings, turnaround time improvements, and error rate reductions.

  • Implementation & Iteration

  • Build and deploy automations yourself using RPA tools (UiPath, Power Automate, or equivalent) and API integrations.

  • Measure actual impact versus projected impact for every deployed automation. Be honest about what worked and what didn’t.

  • Continuous Improvement (Ongoing)

  • Become the permanent process automation capability within operations — continuously identifying new opportunities as we launch new products, enter new markets, and scale volumes.

  • Monitor deployed automations for performance, errors, and compliance. Bots need maintenance just like any other system.

  • Build the business case for scaling the automation team as the programme proves its value.

  • Iterate rapidly — fix what’s broken, extend what’s working, and move to the next wave.

  • Train the operations team on working alongside automated processes. Automation should help them, not threaten them.


Qualifications

Must-Have Experience

These are genuine requirements, not a wish list. If you don’t meet all of these, this role isn’t the right fit.

  • 3+ years in a high-volume operations or fulfilment environment — background screening, BPO, insurance claims processing, mortgage processing, financial services operations, or similar workflow-intensive businesses where you personally processed work, not just managed others doing it.

  • Hands-on RPA implementation experience — you have personally built and deployed bots using UiPath, Automation Anywhere, Microsoft Power Automate, Blue Prism, or equivalent. You can demonstrate working automations you’ve created, not just projects you’ve managed.

  • Process mapping and analysis skills — you can walk into a team you’ve never met, observe their work for a week, and produce a detailed, accurate process map with cycle times, volumes, and bottleneck analysis. Lean Six Sigma Green Belt or equivalent practical experience.

  • API integration understanding — you understand how systems connect via APIs, can read API documentation, and can work with developers to build integrations between platforms. You don’t need to be a developer, but you need to be technically literate enough to know what’s possible and spec solutions clearly.

  • Strong English communication — you will document processes for international stakeholders, present findings to UK-based leadership, write SOPs, and liaise with operations teams across multiple countries. Written and spoken English must be professional and clear.

  • Experience working with international stakeholders — you’ve partnered with onshore teams in the UK, US, Australia, or similar markets, not just executed locally. You understand how to communicate across time zones and cultures.

    Must-Have Attributes

    Skills can be taught. These qualities can’t.

  • You default to doing, not delegating. When you see a problem, your instinct is to fix it yourself before asking someone else to. You’re not above sitting with a junior operations agent for a full day to understand their workflow.

  • You’re obsessively curious about how things actually work. You ask “why do you do it that way?” not to challenge, but because you genuinely want to understand. The people doing the work day-to-day know more about the real process than anyone in management, and you respect that.

  • You have the patience to do proper discovery before jumping to solutions. The first 6 weeks of this role will feel slow. You’ll want to start building automations immediately. Resist. The discovery phase is where the real value is created.

  • You can earn trust from operations teams who may initially view automation as a threat to their jobs. You understand that the best automation programmes are the ones where the ops team is your biggest advocate, not your biggest critic.

  • You’re comfortable with ambiguity. This is a new role in a fast-scaling business. There’s no existing playbook. You’ll need to create the framework, set the priorities, and define what success looks like.

  • You’re rigorous about measurement. Every automation you deploy must have clear before-and-after metrics. You don’t claim success based on how clever the bot is — you claim success based on measurable improvements in cost per check, turnaround time, and error rate.

    Nice to Have (But Not Required)

  • Direct experience in background screening or employee verification operations

  • Experience with data compliance requirements across multiple jurisdictions (GDPR, Philippine Data Privacy Act, Australian Privacy Act).
